What the role entails
The primary responsibility of this role is to manage the bookkeeping aspect of AMHA. This includes the following:
- Preparation of monthly financial statements and bank reconciliation
- Assist in budget preparation for annual general meeting (budget over 1.2 million)
- Lottery license application and reporting
- Administer kitty payments for players and teams
- Process all payments and receivables
- Coordinate with ice coordinator for ice time invoices
- Invoicing with Rinks to Links
- Monthly referee payments
- Payment and reconciliation of HNS fees for players and coaches
- Communication with team managers re team league fees, kitty usage, etc
- Registration day
- AGM reports
- Coordinate with accounting firm regarding year end statements
- Conduct all bank deposits
- Weekly 50/50 accounting entries, winner cheque print
- Reconcile accounting software to registration program
- Attend Board meetings
- Reimburse Non Parent Coach expenses
- Other assignments as requested
Seasonal Planning Activities
- Dates for registration and payment receipt, budget preparation
Specific Time of Year Activities
- Lottery application is required in May of every year
- Ordering of lottery tickets needs to be done at least 13 weeks prior to first draw
- Kitty entry- Usually April and May as soon as lottery staff has all returned tickets tabulated
- Pre-Registration- July & August, begin entries into accounting software as registration info is available
- Final Registration- Record payments made, review receivables
- Lottery – Cheque print for winner every Monday, weekly accounting entry
- Monthly financial Statements for Vice President of Finance
- Biweekly payment of ice bill to Arena, monthly to Keating Centre
Random Time Of Year Activities
- Kitty player requests can occur at any time in the year, including outside of hockey season
Qualifications
- Experience with QBOA accounting software
- Experience with Excel
- Bookkeeping
- Experience with web-based software
- Criminal Records Check
